Validating Registrations against an External Database

NeatClubs.COM provides facilities to validate registrations against a governing body’s database.  At this point in time, NeatClubs.COM specifically supports validation against the e-Sport registration system developed by Integrated Sports Solutions Inc, the makers of Clublink.

Support for each governing body must be built into the software by NeatWorx, and at this time only two governing bodies are support:

Gymnastics BC
Gymnastics Saskatchewan

 

To turn on the validation features, follow the steps below:

Select “System Setup” / “Preferences” / "External Systems" while logged into your website as a system administrator.
Under the heading “Clublink / E-sport registration integration features”, select the governing body from the pick-list, set “Verify Member Status” to “Yes” and optionally enter your club or organization number.  (This is the same number used to identify your club to Clublink)
Next, click on “Save Settings”.

After you have turned validation on as show above, you can test the web-services interface with the governing body database to make sure that validations are working properly.  For convenience, a utility is provided to allow you to look up a member and validate whether their member status and payment is current in the e-sport managed central database.

Under “System Setup”, select “Utility Functions you should see an option that says “Validate Member Status”.  This menu option will only appear if Verify Member Status is set to “Yes” as was done in the previous step.
When you select “Validate Member Status”, the screen shown below will appear. You can enter the name and birthdate of an individual athlete to determines whether the athlete exists in the central database.  It should be verified that this simple test is working before trying to incorporate membership status with an external database as a business rule for on-line registration.

Once you have verified that your site is able to validate member status with a governing body, you are ready to make fees depend on a registrants membership status.
