The Registration Process

The specific registration process will vary depending on the NeatClubs event type, and a number of event specific settings, however most registrations will follow these high level steps:

1. Present Descriptive Information

2. Identification / Account Creation

3. Complete a Registration Form

4. Review Payment Amount Due

5. Authorize Payment

6. Receive Acknowledgement

Each of these steps are explained at a high level below.

Different types of events will incorporate additional specific registration features. (For example "pay by installment" or "pro-rated fee calculation" might be appropriate for a recreational class registration, however these features would not be applicable to something like a one time facility booking)


1.Present Descriptive Information

We provide some descriptive text that describes the class or event that people may register for. This text is configured in the event setup and may include graphics and links to other elements such as uploaded PDF files or other external web-sites. For a "class" event, the presented description might look something like the example below, however you can incorporate any text or graphics that you choose into the event descriptive text. Things like the class schedule are automatically embedded for classes and optional text can be included at the bottom of every event description reflecting explanatory text or a standard set of terms and conditions.

2.Identification / Account Creation

some event types require that a web-site visitor have an account on the web-site before they can proceed with registration. These event types include Single Events, Classes, Camps and Resource Reservations.  For these event types, a user will be asked to create a profile, or if they've registered before they an login using their existing login credentials. If a user is already logged in, they can simply confirm key information about their account and skip this step. The questions asked will vary depending on how the membership database is configured.

Of course if the registration were of an "anonymous" type, there would be no need to identify myself - I could just proceed with registration immediately.

3.Complete a Registration Form

Most events will involve some kind of a registration form. Forms may be very simple, or quite complex.

Users will be invited to complete a form that includes data items specific to what they are registering for. These data fields may have been "labeled" so that registrations can be exported to external systems such as Clublink, ITSportsNet or into CSV files or Excel spreadsheets. A sample registration form for a skating club is shown below. Note that NeatClubs allows you to structure forms that are very specific to your unique registration requirement.

4.Review Payment Amount Due

Assuming the registration event involves payment, the system will display a payment confirmation screen appropriate to the registration type.  For example a camp registration will show a summary of the camp dates selected along with any camp specific registration options.  A recreational class registration will show the dates and times, discounts for pro-rated registrations or short sessions and other items such as fees levied by a governing body depending on the sophistication of the event setup.

5.Authorize Payment

After a user confirms the payment amount, they are invited to proceed to on-line payment. Secure on-line payment services are provided by PayPal.  Registration information is passed to PayPal automatically to prevent the user needing to re-key their personal information.  A credit card payment can be made through PayPal, or users who have paid with PayPal before will be able to identify themselves to PayPal using their PayPal username and password.

6.Receive Acknowledgement

Once a user has completed their registration in PayPal, they will be returned to a "Thank You" page confirming their registration details. They will also receive an e-mail acknowledgement and PayPal will send an electronic receipt by e-mail.  Depending on the event configuration, the organizer of the registration event may be sent a notification e-mail to a pre-defined e-mail account.
