Configuring Microsoft Outlook to access NeatClubs.COM hosted e-mail accounts

You will need the following information before you start configuring your e-mail in Outlook.

The POP3 server name
The SMTP server name
Your e-mail address
Your e-mail password

 

Before starting, it is a good idea to access your web-mail at a provided address like http://webmail.myclub.com and login with your supplied e-mail address as the username and the supplied password. This will verify that your e-mail account is setup and working on the server.

We prefer people to use the SMTP service provided by their own internet service provider, but if this is infeasible for any reason you are welcome to use ours. To use our SMTP service we require that you have a strong password that we will assign for you.

If our site monitoring detects any improper or abusive relaying of outgoing e-mail through your account, we reserve the right to terminate your e-mail account immediately and without notification to protect the integrity of our service and prevent our site and yours from being blacklisted by various internet RBL providers.

Below is a step by step example for a hypothetical club hosted on the domain name myclub.com with settings provided by NeatWorx as below. Unless we have made special arrangements for you your POP servers and SMTP servers will normally be your domain name prefixed by "mail.".

POP3 server hostname: mail.myclub.com

SMTP server hostname: mail.myclub.com

E-mail account: johnny@myclub.com

1. In Microsoft Outlook, select Account Settings under the Tools menu.

2. Click New to create a new e-mail account, or Change to change an account you have already configured.

3. When asked to select your e-mail service, please select the option that includes POP3 (post office protocol version 3) as shown below. While IMAP (interactive mail access protocol) e-mail works on our servers, we discourage its use and will not support people having trouble with IMAP.

4. Enter your name, the provided e-mail address and e-mail password, and then select "Manually configure server settings .." as shown below. When you click the manual settings box the window will "grey out" as shown. Click Next to continue. Manually configuring settings in our view is prudent because we want to control exactly how some of the important advanced settings are configured to avoid problems downstream.

5. When asked to choose your mail service select "Internet E-mail" as shown and click Next again.

6. Provide your internet e-mail settings as shown below. The username is the full e-mail address including the domain name. "Remember password" should be checked and the SPA checkbox should *not* be checked.

Before testing the account settings, click on "more settings".

7. Under the General tab, give the account a name (by default the e-mail address) and optionally supply the organization and reply e-mail. If the reply e-mail is left blank the e-mail address supplied earlier will be assumed. Next, select the Outgoing Server tab. (without pressing OK)

8. Select the Outgoing server tab and configure the outgoing server as below. If you are using your own ISPs SMTP server as we recommend, select "Log on using" and provide the login credentials to the mail server provided by your internet provider. The example below assumes that you are using NeatClubs as your mail service. You can ignore the "Connection" tab in the set and select the "Advanced" tab to finish the setup.

9. In the Advanced tab setup, make sure that your settings are as below. You should use port 110 for POP3 and port 587 to talk to our SMTP server. (your ISP will likely be blocking the standard port 25). We recommend that you leave a copy of messages on your server for a short period. This is useful if you have multiple devices like iPhones, BlackBerrys and Desktops accessing the same mail account remotely. Leaving a copy on the server ensures that all devices are able to access the message. It is important that all the advanced settings be exactly as below.

10. Press OK to return to the Internet E-mail settings screen for this email account.

11. Press "Test Account Settings". If mail has been configured correctly and you can talk to our servers, you should see a messages like the one below.

12. Close the window above and click "Next" to finalize the configuration of this e-mail address.

13. When you see the screen below you are done. You can now send and receive e-mail!
