Once you have created your Newsletter and are happy with it, you can send it by e-mail. For Newsletters, a convenient mail icon is located beside the newsletter name in the detailed listing allowing you to click on the mail icon to send the newsletter by mail.
Once you click on the E-mail icon, you will see a screen similar to the one below appear. This screen will ask you to confirm the newsletter that you are sending, the groups that you are sending to and any additional e-mail address you would like to include.
Additional e-mail addresses in “STEP 3” above need to be separated by commas. Note that any Groups in STEP 2 will correspond to the Member Types that you initially setup for your system under “System Setup” / “Categories & Definitions” / “Member Types”. It is a good idea when accepting registrations , to configure the registration activity so that registrants for particular on-line events are automatically placed into the correct Member Type. This is done in the registration properties for each registration event definition. Having registrants in the correct member group will avoid the need to manually change member records later on. The Member records may be viewed and edited by the system administrator using the “Manage Members” function accessible from the side panel menu as shown below.
Once you have selected the Member Types that you want to send e-mail to, you can proceed to the next step. In STEP 4 of the Send Newsletter dialog you will see a preview of what the Newsletter will look like. You will also see a list of generated e-mail addresses based on the member groups that you selected in STEP 2. You may edit the list of recipients for the e-mail directly in STEP 5 ensuring that e-mail address are separated by commas.
In STEP 6 you should provide a title that you would like to have appear on your outgoing Newsletter subject line. A default is supplied for you corresponding to the name of your organization After you click on “Send Emails” your Newsletter will be queued for sending. NeatClubs queues all outgoing e-mail and sends the mail approximately every five minutes from our servers. We queue messages in this manner so that outgoing messages are not reliant on your browser remaining on the same web-page and so that if there is a transient error with a mail-server the out-going message will automatically re-try again ten minutes later. Taking this approach helps ensure the reliability of our outgoing e-mail. Also, if sending a large number of e-mails the system will automatically "pace" the sending of e-mails by sending a limited number (100 or so) every five minutes. This is "by design" and helps avoid potential problems with our mail servers and also helps avoid overwhelming receiving e-mail servers. If an ISP sees thousands of e-mails coming to their subscribers all at once, they are more likely to interpret the e-mails as SPAM and attempt to block them.
