NeatClubs.COM is designed to solve a variety of registration problems that frequently occur in small business applications, clubs and associations.

Simple Data Gathering Forms

Useful for "Contact Us" forms, Party Reservations, Customer Feedback, Customer Service Request, Lead or Event registration forms, Problem reporting applications, Customer quality surveys etc. Registration forms may be configured in such a way that registrants need to create a profile on the system prior to registration or registration may be made "open" or "anonymous".  Forms be also be created in such a way that only known people can respond ensuring the integrity of responses and guaranteeing the data is not skewed by duplicate responses.

Registration events that employ these simple forms can have the following properties.

Membership Management Applications

NeatClubs.COM can be used to help you manage a community of members. Membership management features include:

Fully customizable data attributes per member
The ability to allow clients to create accounts on a "self-serve basis" or the ability to pre-load a member database from a CSV file
The Membership database can be created "on the fly" via program registrations
Registration costs can vary by member type
Web-site accessible content can be controlled on the basis of member types

Recreational Program / Class Registrations

Advanced features are presently oriented specifically toward session oriented class registrations

Recreational programs may be allocated into a configurable number of flexible sessions
Session dates may overlap one another
Programs may be grouped and presented by Facility or by Program Category
Late Registration is supported with variable late registration payment policies
Age validation can be automated to screen registrants based on birthdates and age policies
Support for holidays / facility closures with optional pro-rated fee calculations
Class capacity is enforced by imposing per slot capacity limits that can vary from class to class
Flexible payment policies including partial deposits
Class payments may be made in installments by leveraging subscription payment features (e.g. 50% up-front, 50% due at a later date)
Organizations can reconcile manual registrations with on-line registrations using a dashboard that accounts for manual adjustments to class capacities

 

Resource Based Registration  (e.g. Birthday Party Registrations)

Resource-based reservations are used when you have facilities that you need to schedule on a highly repetitive basis while preventing conflicts and facility over-booking.  Excellent examples of where resources-based registrations apply are in available booking party rooms against multiple weekend or weekday time slots, booking facilities such as squash courts or tennis courts or booking access to important pieces of equipment.

Up to 30 reserve-able resources ca be setup per reservation event
Multiple registrations per reserve-able resource can be accommodated
Reserve-able resources can be held based on a deposit
Resources can be made available according to complex recurrence schedules
Exclusion dates are support where resources are not available
Resources may be opened or closed based on need

 

Coordinating "One-time" (Single) Event Registrations

Many organizations need to coordinate individual events with complex registration requirements. These might be conferences or meets that may span one or more days with different registration options.

 

These can be achieved in NeatClubs.COM using our "single_event" registration mode. Examples are:

 

Training events
Seminars
Major meetings where respondents need to register to particular tracks of speaking slots
Event registrations where different classes of users need to have different fees assessed

 

Subscription Registrations

Subscription registrations allow a registrant to pay a specified amount up front and pre-authorize a future stream of payments. NeatClubs manages registrations for subscriptions and tracks received payments against subscription events.

 

These types are registrations are useful for monthly membership fees for competitive athletes or association members.

 

Conditional Access to Documents following registration

We've occasionally run into instances where organizations would like to make documents available to registrants conditionally depending on the activities that they have registered for.

Some examples are:

Organizations may have multiple "tracks" or "options" for an offered event. If a registrant selects certain options, they may want to charge extra, and send along additional information associated with the selected option in particular.
Consulting organizations may want to sell templates or documents, and only make templates or documents available to registrants that have paid for them. NeatClubs can act as a very simple solution for distributing electronic content.

 

 

Donation Activities

Donation activities are handled as a discrete transaction type in NeatClubs because the amounts contributed are normally user-definable and specific presentations may apply like charitable registration numbers. Other NeatClubs event types are also flexible enough to be used for donations however. For example a donor might pre-authorization monthly donations.

 

Simple Shopping Carts

While not designed as a shopping cart application, NeatClubs does implement a simple shopping cart interface that allows an inventory of goods to be presented as being for sale where users can select various quantities of the available items. It also allows constraints to be placed on inventories so that items are not over-sold.

 

Members-only Event Registrations

Registration activities are sometimes only allowed for members only. NeatClubs can require that a member have an existing account before registration. Events designated as members only will not allow the creation of new member records "on the fly" as open registration events typically would.

 

Camp Registrations

Camp registrations are a more complex mode of registration in that the programs have significant variability. Variations include:

 

Flexible start dates, end dates and durations
Complex schedules with exclusion dates
Different registration "granularity" - weekly, daily, based on half days"
Special program days or theme days
Supplementary options (as examples late pick-up or early drop off)
Flexibility to accommodate attendance lists than can vary on a daily basis.

 

Competitive Meet Registrations (coming soon)

For competitive meet registrations, it is desirable that a custom registration form be completed where a series of fields repeat. This is because competitive meet registrations are normally completed by a coach where a participating team is registered as a part of one registration transaction.
