Making Newsletters Available on your Site

The “flag” symbols in the detailed document listing control whether documents are included in the simplified views of the document or newsletter libraries visible to web-site visitors. By clicking on the flags to turn them green, you are indicating that these newsletters should be available to site visitors.

To make available an archive of your previously sent Newsletters on the web-site, we recommend that you ensure the flags are set  to“green” so that they will appear in document listings. Furthermore, you should put all of your Newsletters in a common user-defined group such as “Monthly Newsletters” or “2007 Newsletters” as shown in our example.

NeatClubs allows us to view the Newsletters (just as we can view documents) in a few different ways.

The figure below shows a hierarchical folder view where we “group” Newsletters by user category sorted alphabetically by name. By clicking on the "2007 Newsletter" line in the example below we see an expanded listing of all of the newsletters that are associated with that user-defined document category. This view could just as easily show more Newsletter collections categorized by year if we had additional categories called "2008 Newsletter" and "2009 Newsletter" for example.

To ensure that Newsletters are available to web-site visitors, under “System Setup” ensure that the Newsletter menu is available to  the public as shown below.

Also, under “System Setup” / “ Preferences” / “Documents” change the layout for the default document layout to “bygroup” in order to produce the grouped folder view.
