Exporting Participants

There are two distinct ways to export registrations in NeatClubs:

One way is to simply export registrations for your own purposes in your own format.

The data contained in these exports will depend on the actual questions that you asked in the form associated with the registration event.  It will also depend on the "type" of the event. For example, a birthday booking based on a resource reservation event will contain different registration related fields than a recreational class registration based on a NeatClubs "class" event.

A second way (described here) is to export your program participants in a standard format prescribed by a governing body.

To export your participants in a standard format, select Export Participants under the Participants menu.

When you do this, the screen below will appear.

If we export all of our participants, this will include anyone who has registered for a program since the "beginning of time".

Because CSV files are readily imported into spreadsheets, it is relatively simple in Excel to deal with all participants, sort based on particular fields and  just delete the rows that you don't need.

In the example below we are going to only report participants participants who have had a registration fall in a particular date range.

In this example, our Governing Bodies fiscal year begins July 1st, 2009. We opened up registration for our Summer / Fall 2009 programs on May 1st, so we know that any registrations received after May 1st are for this fiscal year.

Note that we can choose to include or exclude specific roles or levels in the export.  This is useful if I am using my own designations for particular purposes that need not be reported to a governing body.

NeatClubs is "aware" of the registration requirements of a select number of governing bodies - Gymnastics Ontario, Gymnastics B.C. and Gymnastics Saskatchewan among them.  All have slightly different requirements and formats for membership reporting.  Assuming that you select the proper governing body under System Setup --> Preferences --> External Systems, NeatClubs will attempt to generate the CSV file in the appropriate format required by that governing body or their registration service provider.
