Additional Newsletter Tips

Below are a few additional tips that users sending Newsletters might want to be aware of.

When using the mail-merge feature, you should be careful about adding e-mail addresses “on the fly” to include in your newsletter. This is because these addresses will not be in your member database, and as a result outgoing messages will not have the mail merge fields properly replaced meaning that these recipients will see fields such as {%fname%} embedded in the text of the e-mail.  As a rule if you are using Mail Merge you should not add additional e-mails recipients to send to.
If for any reason your newsletter is not sent, please do not simply attempt to send it again. NeatClubs queues outgoing messages so it may take several minutes before the messages are actually sent from our mail servers.  If you send e-mail again there is a high probability that your intended recipients will eventually end up getting multiple copies.
Please ensure that you have permission to send messages to your recipients. This is critically important and is a legal requirement in both the United States and Canada. Sending unsolicited e-mail is a violation of our terms of use and can put us in jeopardy with our hosting provider since we have agreed to similar terms of use that we flow to our customers.  If we are targeted in a complaint we may have no choice but to cease providing services to an offending party.
Obviously if you are using the fast Newsletter Subscribe option on the side-panel you will not have enough information to conduct a mail merge. To gather additional information use a “Data Gathering Form” in the Events module to auto-populate your member database and include other needed information like the member first name, last name and phone number.
